Overview
AI Meeting Notetaker automatically transcribes Chronus video call meetings, summarizes key discussion points, and surfaces suggested next steps — so participants can focus on the conversation instead of taking notes. What Participants Experience
Before the meeting — Both participants see a notice that the Notetaker is active on the meeting preview page. Recording begins only once the organizer joins the call — if the organizer doesn't join, no recording takes place.
During the meeting — A recording indicator stays visible throughout. Only the organizer can pause or resume recording — the other participant is notified in real time. Only audio is captured; video is never recorded.
After the meeting — Within 5–10 minutes, both participants receive a recap containing:
A brief summary of the conversation
Key discussion points — clickable items that jump to the corresponding transcript moment
Full transcript (English only)
Suggested next steps with proposed assignees — convertible to tasks individually or in bulk
The summary and next steps are also included in the post-meeting follow-up email.
Walking into the next meeting prepared — When a participant opens their next scheduled meeting with the same partner, they'll see a "Recap from last meeting" card with key points from last time. This is also available inside the Chronus video call for participants joining from their calendar — so no one walks in cold.
Privacy and Confidentiality
Participant privacy is built in from the ground up:
Admins cannot access transcripts or summaries — not even via Work on Behalf. Content is visible only to the two participants.
Only the organizer can pause or stop recording mid-meeting.
Summaries are clearly labeled as AI-generated, with a "Was this summary helpful?" prompt.
Customer data is never used for model training. No cross-tenant data sharing.
EU cluster customers have data stored in EU infrastructure.
How to Enable
Go to Manage → Program Configuration for your program. Scroll down to find the Chronus AI option.
Find AI Meeting Notetaker and toggle it on.
Once enabled, the Notetaker is active by default for all new Chronus Video Call 1:1 meetings. The organizer can turn it off for any individual meeting. You can see which programs have it enabled from the global-level Chronus AI page.
Chronus AI must be enabled at the global level by your Global Admin. For full setup details, see Getting Started with Chronus AI Settings.
Requirements
Chronus Video Call must be enabled for the program. The Notetaker does not join Zoom, Teams, or other external tools.
Chronus AI must be enabled at the global level.
AI access to the "Name" profile field must be permitted in global-level Profile Permissions. The Notetaker uses this to identify speakers in the transcript.
Supported Program Types
Available for 1:1 programs in Mentoring, Peer, and Flash. Not currently supported for Group, 3rd-role, Circles, or Connection Communities.
Frequently Asked Questions
Does this work with Zoom or Teams?
No. Chronus Video Call only — no bot joins external meetings.
What happens if the organizer doesn't join?
Recording does not start. The Notetaker only activates once the organizer joins.
How long are transcripts stored?
For 1:1 meetings, as long as the user is active. For Flash, transcripts remain accessible to the other participant even if a user is removed. If a user is deleted from a 1:1 program, associated meetings and transcripts are deleted.
What about sensitive programs (e.g., DEI, mental health)?
The Notetaker is opt-in at the program level. For individual meetings, the organizer can turn off recording before or during the call, and participants can ask them to do so at any time. For particularly sensitive programs, you may choose not to enable it at all.
What happens if I disable the Notetaker?
Previously generated notes will no longer be accessible (the notes tab will not be visible). However, any actions participants already took — such as tasks created from suggested next steps — will persist.
Does this require Guided Conversations?
No. Only Chronus Video Call and Chronus AI.
How does this connect to AI Meeting Guides?
They're complementary. The Notetaker captures what happens; Guides help participants prepare. Over time, meeting data improves future guide recommendations.
