Overview

The ability to manage ERG events in one platform enables ERG Leads to streamline event planning and share events across their organization effortlessly. Events can be made visible not only to members of the specific ERG hosting the event but also to members of other ERGs and employees who aren’t part of any ERG. This visibility serves as a powerful way to attract non-members, sparking interest in ERG events and encouraging broader engagement.

Employees who are not yet ERG members can view events without needing to join the ERG.

Why it matters: Events are a cornerstone of how ERG leaders foster community and attract new members. By simplifying event management, making events accessible to all employees, and offering a pathway to interest non-members, this feature supports ERG growth and engagement while reducing the administrative burden for ERG Leads.

Getting Started & Feature Highlights

These features let admins create events for all ERG members while also making them visible to non-members. They can also create events for a specific ERG and allow other ERG members to discover them.

Here’s a quick guide to accessing and configuring the privacy feature:

How to Access Privacy and Configuration Settings

Navigation path: ERG Program > Manage Events > Create New Event > Privacy

Configuration: To create events, the user must either be a group owner or lead. No additional permissions are required.

Admin Workflow

From the left navigation menu, select ‘Manage Events’ and click on ‘Create New Event.’

Take note of the new ‘Privacy’ section when creating an event.

Event Registration for Non-Members with SSO

End users who are not part of any group and for whom SSO is configured, can access the public events URL to view the full list of events. They can then register directly by clicking ‘Register.’

After clicking the ‘Register’ button, a login screen will appear. Select the SSO option to proceed.

After entering your SSO credentials, you will be logged in and gain access to view the event details, along with the option to select ‘Register Now.’

Event Registration for Non-Members without SSO

End users who are not part of any group and do not have SSO configured can access the list of events via a link provided by the admin.

To register, the non-member can click ‘Join Program’ and complete a short profile. This does not require them to join the ERG.

FAQs

Why do non-members need to create an account to see event details and register for the event?

To protect the organization and ERG, non-members are required to complete a short profile before they can see event details or register for events. Because these public events are available to anyone who has the link to the public page, it is important to limit the information shown on these pages.

Creating a non-member account is also required to limit registration to only employees at the organization or those approved by the group owners.

Will I be charged a license fee for non-members?

No, these users are not counted as licensed users until they join an ERG.

How do Event Privacy Settings work when I also have a Guest List?

These settings work together and do not limit each other. For example, you can make an event public for anyone and have a separate Guest List. The users on the Guest List will receive a direct invitation to the event.
